1. Scope and responsible organization

This Privacy Policy applies to the Water Factory System, a business-management and customer-notification platform operated by PSU Technology. The platform may be used by multiple independent water companies. Each participating company is responsible for entering customer information lawfully and using it only for legitimate business purposes.

By using the platform, you acknowledge the practices described in this policy. Where consent is required by applicable law, the participating company must obtain it before processing personal information or sending notifications.

2. Information we collect

Depending on how the service is used, we may process:

• Customer name, telephone number and customer account identifier;
• Sales, quantities, prices, payments, outstanding balances and transaction dates;
• Company, staff and authorized-user account information;
• WhatsApp delivery status, message-template details and communication timestamps;
• Technical and security information such as IP address, browser type, login activity and system logs;
• Information voluntarily supplied in support requests or business communications.

We do not intentionally request sensitive payment-card details through WhatsApp messages. Payment-card information used for Meta billing is handled by Meta and its payment providers under their own terms.

3. How we use information

We process information only as reasonably necessary to:

• Create and manage customer and company accounts;
• Record sales, payments, expenses, balances and related business activity;
• Send transaction confirmations, payment receipts, balance updates and service notices;
• Provide customer support and respond to questions;
• Protect accounts, prevent misuse and maintain system reliability;
• Comply with lawful requests and applicable legal obligations;
• Improve system functionality using aggregated or de-identified information where practical.

4. WhatsApp notifications

The system uses the WhatsApp Business Platform to deliver operational messages such as new-sale confirmations, payment confirmations, receipts, balance updates and important service information. Messages should identify or clearly relate to the water company responsible for the relevant transaction.

A customer may stop receiving optional WhatsApp notifications by replying STOP, contacting the relevant water company, or contacting us using the details below. Certain essential records may still be retained where required for accounting, security or legal purposes.

WhatsApp and Meta process message and account information according to their own privacy policies. Customers should not send passwords, verification codes or unnecessary sensitive information through WhatsApp.

5. How information is shared

We may share or make information available only when necessary to:

• The water company with which the customer has a business relationship;
• Authorized staff who require access to perform their duties;
• Service providers supporting hosting, security, backups, messaging or technical operations;
• Meta and WhatsApp for message delivery and WhatsApp Business Platform operation;
• Government authorities or other parties when required by applicable law or a valid legal process;
• A successor organization in a lawful merger, restructuring or transfer of the platform, subject to appropriate safeguards.

We do not sell or rent personal information to advertisers or data brokers.

6. Data retention

We retain information only for as long as reasonably needed to provide the service, maintain accurate financial and transaction records, resolve disputes, enforce agreements, protect the platform and meet legal obligations. Retention periods may differ according to the type of record and the requirements of the participating water company.

When information is no longer required, we will delete, anonymize or securely restrict it, subject to technical backup cycles and lawful retention requirements.

7. Information security

We use reasonable administrative, technical and organizational measures designed to protect information, including access controls, authentication, activity logging and secure connections. No internet-based system can guarantee absolute security. Authorized users must protect their passwords and report suspected misuse promptly.

8. Your choices and rights

Subject to applicable law and legitimate record-keeping requirements, you may request to:

• Access the personal information held about you;
• Correct inaccurate or incomplete information;
• Stop optional WhatsApp notifications;
• Delete eligible information;
• Object to or restrict certain processing.

We may need to verify your identity and confirm the relevant water-company account before completing a request.

9. Data-deletion requests

To request deletion, email Reports@psutech.online with the subject “Data Deletion Request”. Include your name, telephone number, the relevant water-company name and enough transaction information for us to locate and verify the account.

After verification, we will review the request and delete eligible information within a reasonable period. We may retain information required for financial records, fraud prevention, security, dispute resolution or compliance with law. Where full deletion is not possible, access will be restricted where appropriate.

10. Children’s privacy

The platform is intended for business and customer-account management and is not directed to children. We do not knowingly collect personal information directly from children. If you believe a child’s information was entered improperly, please contact us.

11. Changes to this policy

We may update this Privacy Policy when our services, technology or legal responsibilities change. The effective date at the top of this page will be updated when material revisions are published. Continued use after an update is subject to the revised policy.
